BACKGROUND:
The Partnership for Supply Chain Management (PFSCM) brings together multiple private sector, non-government and faith-based organizations that are among the most trusted names in supply chain management and international public health and development in the world. PFSCM has been recognized internationally for its work to save lives through stronger public health supply chains; the partnership won two supply chain distinction awards from the European Supply Chain and Logistics Summit in 2010 and was a finalist in the 2012 Supply Chain Innovation Award Competition sponsored by the Council of Supply Chain Management Professionals (CSCMP) and SupplyChainBrain.
PFSCM is implementing the Supply Chain Management System (SCMS) contract for USAID as part of the President’s Emergency Plan for AIDS Relief (PEPFAR). With offices in more than 20 countries and over 800 dedicated staff members around the
world, SCMS is helping to improve the lives of people living with HIV/AIDS in some of the countries most severely impacted by the pandemic. SCMS procures essential medicines and supplies at affordable prices; helps strengthen and build cost-effective, reliable, secure and sustainable supply chain systems; and fosters coordination of key stakeholders.
The Global Fund to Fight AIDS, Tuberculosis and Malaria is a major financing institution in the fight against these diseases in 140 countries. The Global Fund selected PFSCM to be its primary Procurement Agent for Global Fund principal recipients, under its Pooled Procurement Mechanism aimed at ensuring a cost-effective and efficient procurement process that meets all the Global Fund standards for a Procurement Agent. This service provides support to countries to resolve procurement bottlenecks and supply chain management challenges and to facilitate timely access to pharmaceuticals and other health products.
In addition, PFSCM implements other supply chain management projects with other client/donors.
OVERALL RESPONSIBILITIES:In collaboration with other units, the Accounts Payable Coordinator will provide support to Accounts Payable Manager and other members of the Accounting Unit. This support is in the areas of commodity invoice back up document preparation and electronic and paper document filing. This position is part of the accounting unit and will report to the Accounts Payable Manager.
SPECIFIC RESPONSIBILITIES:
Specific responsibilities will include, but not be limited to, the following:
- Process commodity, administrative and subcontractor invoices by gathering the required documentation to enable payment.
- Reconcile invoices received with accrual payable report in ORION Update vendor invoice tracking report on weekly basis.
- Log commodity invoices received by mail and email to the system.
- Assist Accounts Payable Administrator in processing freight, security, insurance and local distribution invoices.
- Follow up with buyers and suppliers for copies of their invoices.
- Support the accounting team in maintaining filing system for electronic and hard- copy documents.
- Circulating and expediting procurement documents for signature with finance team.
- Update vendor information in Orion as required.
- Identify and report unresolved discrepancies to A/P manager. Perform other duties as assigned.
QUALIFICATIONS:
- 2 years’ work experience and college degree or equivalent work experience.
- A proven ability to work as part of a team, and to be self-managing.
- Excellent interpersonal, written and oral communication skills.
- Demonstrated experience with Microsoft Office Suite, including databases, spreadsheets and presentations.
- Ability/willingness to learn new software and tools.
- English fluency required including speaking, writing, and reading.
- Works effectively in a fast-paced office environment. Attention to detail.
- Excellent organizational skills.
- Must be authorized to work in the United States of America.
