Program Overview

Evidence to Action for Strengthened Family Planning and Reproductive Health Services for Women and Girls (E2A) is USAID’s global flagship project for strengthening quality FP/RH service delivery. The project is designed to reduce unmet need by scaling-up proven best practices (BPs) to ensure that women and girls receive – and use – quality services through all stages of the reproductive life cycle. By promoting healthy FP/RH behaviors, gender-equality, and compelling evidence for FP use, E2A will directly support the principles of the USG Global Health Initia­tive (GHI). This five-year project is led by Pathfinder International in partnership with the African Population and Health Research Center (APHRC), IntraHealth International, Management Sciences for Health (MSH), Partners in Expanding Health Quality and Access/ExpandNet, and PATH.

Position Purpose

The Project Management Coordinator will support the Project Director and Deputy Project Director to implement and promote the visibility of the E2A project. S/he will support E2A-hosted events and meetings with multiple partner NGOs, field offices overseas, and donors. S/he will work with the project management team to prepare talking points, presentations and briefers for myriad external audiences. The Coordinator will help liaise with project partner organizations and field offices. S/he will proofread, copy edit, and format communications materials and E2A publications, as needed. The Coordinator will collaborate with all project teams to prepare materials and gather data on project progress and deliverables. S/he will support tracking deliverables and lead various initiatives, as needed. The Coordinator will play an integral role in the administration and organization of E2A’s activities.

Key Responsibilities

  • Update and maintain project files and databases for the management team.
  • Coordinate scheduling of regular management meetings for the management team including: quarterly technical reviews, monthly financial meetings, start up and close outs and periodic check-ins as needed. Be well-versed in using appropriate conference call technology for connection of participants. Take minutes with action items and ensure they are distributed in a timely manner.
  • Responsible for communicating deliverable reminders, including donor reports, project status updates and internal reports, and online data system entry to both HQ and Field staff.
  • Copy, edit and review donor deliverables, including reports, work plans, and presentations.
  • Be conversant with Pathfinder’s processes for working with staff and partners.
  • Assist with administrative tasks related to field office startups and close outs, as needed.
  • Prepare travel assistance for the management team including, but not limited to: Travel Authorizations, itineraries, Expense Voucher assistance, assist with production of VISA related documents, and hotel accommodations.
  • Coordinate DC Office visitors from the field and staff (meetings, scheduling travel, accommodations, etc.).
  • Support the production and coordination of communication materials for our country offices.
  • Generate reports and materials for management team.
  • Assist in updating project briefs, reports, website and other media.
  • Assist with preparation of presentations and documents.
  • Organize and, at times, attend department meetings, retreats, and trainings.
  • Serve on task forces as requested.
  • Perform other administrative, programmatic duties and special tasks as assigned.

Basic Requirements

  • Bachelor’s degree in related field, or an equivalent combination of education, training and work experience with demonstrated ability to excel in support functions for an administrative department;
  • Minimum of two years administrative experience in a fast-paced office environment, with demonstrated exceptional customer service skills;
  • Excellent organizational skills, with the ability to manage time effectively, prioritize tasks and meet deadlines with close attention to detail;
  • Proficient with all Microsoft Office and database software, with the ability to accurately input data;
  • Excellent written and verbal communications;
  • Ability synthesize data and develop charts, tables and graphs;
  • Solid interpersonal skills including the ability to develop strong working relationships with culturally diverse staff at all levels of the organization;
  • Ability to work well under pressure in a fast-paced environment with shifting priorities and multiple deadlines;
  • Ability to exercise sound and timely judgment and maintain confidentiality of sensitive information;
  • The position requires working both independently and as a member of a team;
  • Must be proactive, self-directed, conscientious and results-oriented. Knowledge of the political, social, economic and cultural environment of working in West Africa

Preferred Qualifications

  • Experience living and/ or working in resource poor settings.
  • Travel or work experience in West Africa.
  • Ability to speak French.
