The Project Associate (PA) works under the direction of the Deputy Director of the Leadership, Management and Governance (LMG) Project within the Center for Leadership and Management (CLM). The Center for Leadership and Management implements health systems strengthening programs with a focus on leadership development, organizational capacity strengthening, human resource development, financial management, etc.
The Project Associate provides project support to activities within the core-funded portfolio, which includes funding for Vulnerable Populations from the USAID Bureau of DCHA and from the Offices of HIV/AIDS and Population Reproductive Health within the Global Health Bureau.
The Project Associate ensures the smooth operation of technical efforts and field activities by coordinating programmatic information and providing logistical support for LMG teams. The Project Associate works in support of core-funded activities managed by different LMG staff, and is responsible for the day-to-day coordination of designated project activities. S/he works with other staff to manage technical assistance and to keep staff informed of the status of project activities.
SPECIFIC RESPONSIBILITIES:
- Coordinate travel processes, working with LMG and travel department staff to complete and submit required forms. Manage the collection of travel information for monthly submission to the AOR. Coordinate international/domestic travel and hotel arrangements and process visa requests as necessary related to project activities. Ensure that all travel arrangements comply with USAID regulations and MSH procedures. Provide travelers with Logistics Letter (containing all travel details) prior to departure. Provide general support to project team members when traveling.
- Coordinate procurement processes for the team, working with LMG staff and Procurement staff to complete required forms and track procurements through the system.
- Assist with submission and tracking of subagreements and consultant agreements, ensure all required forms are completed and submitted. Provide advance notice to
Contracts and Grants Administration staff regarding upcoming sub-agreements and consultant agreements. Orient consultants to MSH/LMG procedures, schedule follow-up debriefings as required.
- Coordinate staff schedules to schedule meetings for the team, take notes when necessary. Arrange logistics for workshops and events in compliance with USAID and MSH regulations.
- Serve as the key administrative staff supporting project activities and assist the management team in the development, tracking, and revision of work plans, deliverables, expenditures, and budgets. Develop and maintain tools to assist with activity management.
- Coordinate USAID Trainet submission process; maintain knowledge of procedures and policies related to training and reporting training events. Work with staff to request and complete the information required, submit to Trainet for designated activities.
- Collaborate with team members to aid in the booking of cost share. Work with partners to ensure they are aware of the formats and documentations needed for cost share. Follow up on cost share booking with contracts and grants as needed.
- In collaboration with LMG staff working on assigned activities, ensure open, ongoing flow of information between LMG, MSH Headquarters, and field offices.
- Maintain responsibility for file management and dissemination of programmatic and team information. As appropriate, contribute to LMG knowledge, programs, tools and approaches.
QUALIFICATIONS:
- Bachelor’s degree or equivalent professional work experience in a directly related field.
- Minimum of 1 year experience in an administrative capacity in an office setting, experience on international development projects desired.
- Demonstrated competence to assess priorities and manage a variety of activities in a time-sensitive environment, and to meet deadlines with attention to detail and quality.
- Excellent coordination and administrative skills.
- Strong writing, copyediting, and formatting skills.
- Demonstrated computer skills in Microsoft Office.
- Demonstrated ability to take initiative and to work proactively and independently.
- Excellent interpersonal skills and demonstrated sound judgment in handling confidential and sensitive matters with discretion.
