Job Overview / Summary (What and Why):

The Major Gifts Associate is a pivotal member of the Board and Acquisitions team of the Major and Planned Gifts (MGPG) unit, responsible for the administrative, operational, and editorial support key to reaching the team's ambitious fundraising goals: to identify and cultivate the most promising donor prospects and retain and upgrade current donors.

Major Responsibilities:

  • Provide administrative support to the Board and Acquisitions Team of MGPG team including, but not limited to: coordinating officer travel arrangements, running weekly reports from database, assisting with mailings, managing stocks of shared resources (stamps, MGPG laptops and GPS systems), ordering/renewing subscriptions to trade publications, coordinating repairs for LG printers, processing and tracking expenses, and helping orient new employees. Coordinating with Stewardship Manager to ensure supplies for mailings (i.e. stationary).
  • Fully support Officers in their tailored / personalized outreach to donors by updating database / uploading actions, merging, printing, and mailing letters, telephoning or emailing donors especially to notify them of important IRC updates, hand-writing notes, etc.
  • Fully support Stewardship Manager with all administrative tasks associated with her/his projects.
  • Execute the weekly acknowledgement mailings and other important correspondence that goes to the President's Office.
  • Gather and maintain a hard-copy and electronic supply of relevant and timely donor cultivation materials. Format news articles on request. Prepare donor packets for meetings and compile or create customized materials. Assist in the adaptation or production of fresh cultivation pieces.

  • As back-up to Events Officer, provide critical logistical and materials support as needed.
  • Take on special projects as assigned.

Job Qualifications:

Education:

  • Minimum: Bachelor's degree

Preferred:

Work Experience:

Minimum: Previous work (or internship) experience in an office setting.

Preferred:

  • Experience working in a non-profit development department.
  • Interest in humanitarian work.

Demonstrated Skills and Competencies:

  • Solid Microsoft Office and database management skills, comfort with Powerpoint;
  • Proven organizational and time management skills: the ability to work accurately and productively in a fast-paced environment and respond/adapt to shifting priorities;
  • Excellent interpersonal skills and written and oral communication skills: the ability to effectively interact with a variety of internal and external contacts;
  • Strong listening skills and the ability to accurately follow directions;
  • Exceptional attention to detail and commitment to deadlines;
  • The ability to work effectively in a team environment as well as take initiative independently;
  • Commitment to respect and maintain confidentiality of donor information.

Preferred:

Experience with Salesforce, Raiser's Edge, or other donor database management system
