Based in Washington, D.C., ACDI/VOCA is a nonprofit international development organization that delivers technical and management assistance in agribusiness, financial services, enterprise development, community development, and food security to promote broad-based economic growth and vibrant civil societies. ACDI/VOCA has approximately 70 projects in 35 countries and total revenues of approximately $174 million.
We are seeking a D.C.-based Project Coordinator who will be responsible for providing primary support to field projects and contributing information on proposal teams. The Project Coordinator is expected to perform core tasks with autonomy.
Responsibilities include:
• Assist in preparing scopes of work for consultant and volunteer assignments
• Search consultant databases and screen CVs for further review by field staff or program manager
• Submit requests to issue letter of assignment for hired staff and consultants
• Support field staff mobilization and repatriation
• For volunteers and consultants, make travel arrangements, review and process expense reports
• Update project budget tracker regularly
• Update and maintain project approvals tracker (labor, NXP, travel)
• Collect approval signatures necessary for authentication, notary, power of attorney, and other forms
• Review quarterly vehicle report for completeness and accuracy
• Ensure field compliance with insurance documentation for properties and leases
• Prepare and submit to Awards & Compliance the following:
o Procurement, contract, and grants paperwork
o Donor approval requests
• Review monthly field financial reports (Overseas Cash Accountability Report or OSCAR) for completeness, accuracy, and compliance. If requested by project manager, review JSR for charge
• Add monthly budget projections to budget tracker and share with project manager
• Coordinate and process project monthly advance request between COP, project accountant, and HQ Accounting and Finance team. Submit banking POA and bank account requests to CFO
• With program manager, collect and report on financial management of projects, including: budgets, burn rates, obligations, and cost share
• As directed by program manager, communicate and coordinate with subcontractors and lead organizations. Support tracking of subcontractor obligations and documentation
• Compile, edit, and distribute monthly project updates
• Draft requests to the donor under guidance from field staff or program manager
• Support the tracking and entry of monitoring and evaluation data in the CaPISC database
• Compile and distribute project technical and financial data to complete project reviews
• Assist in project startup and closeout activities, as assigned
• Assist in capturing and disseminating knowledge before project closeout
• Participate on proposal development teams by researching and documenting technical and financial (budgets) information
• Write elements of a proposal, with guidance
• Serve as a proposal coordinator on new proposals, with guidance
• Participate in recon trips, with guidance
A master’s degree in international development, agriculture, finance, economics, or other related field, with a minimum of two years’ related work experience (overseas work in international development preferred) required. Additional years of experience in lieu of a master’s degree will be considered. Experience with software applications including PowerPoint, Word, and Excel required (SharePoint, Blackboard Collaborate, Prezi, and other multimedia programs preferred). Excellent oral, written, and reading comprehension abilities essential. Fluency in English required. Strong French language and/or Spanish language skills a plus. The ability and willingness to travel internationally is required.
