Position Summary
As an integral member of the World Relief Home Office finance department, the Corporate Grants Officer (“CGO”) will have the opportunity to utilize their gifts, talents and experience to contribute towards an organization that continuously strives for financial excellence. This position calls for an individual that can add value to existing processes within the finance team with a true servant leadership approach. The CGO provides support to the entire grant lifecycle of Federal, state, local, overseas, public and private grants, including grant documentation collection and maintenance, assisting in the preparation of financial reporting and grant close-out. Encompassing several facets of the grants management process, the CGO is responsible for maintaining the ERP Grants Module, processing US field office checks, in addition to providing administrative support within the Finance department to serve company-wide needs regarding grant administration. The CGO works closely with the Senior Manager of Grants and Contributions to record grant-related accounting entries. The incumbent is expected to continuously grow in capacity, in addition to serving as a backstop for other Home Office finance functions as needed.
Key Responsibilities
• Collects, reviews and maintains grant documentation in conjunction with accounting, program personnel and technical units • Responds to queries from Program, Marketing and senior management relating to grant expenditures, budgets, and grant balances • Assists Program by providing information necessary for the ongoing administration of grants, contracts and cooperative agreements • Uses information from internal accounting and grant management systems to prepare periodic financial reports (SF-425 or other donor specified reporting mechanism), financial close-out reports, and other grant reports required by various grantors as necessary in accordance with award terms and applicable government or donor regulations • Prepares analysis and projections on grant and cost-share activities to ensure compliance with award restrictions • Works with offshore accounting team to maintain master grant files and agreement documentation including copies of all modifications, correspondence and reports •Disseminates contract and grant information to relevant staff as requested • Prepares FFATA sub-award and other government mandated reporting as required • Receives checks from US offices, reviews for accuracy and submits to Corporate staff for deposit • Maintains reconciliations for grant-related accounts and works with various personnel to resolve discrepancies • Provides support during audit preparation and responds to assistance requests when necessary • Prepares and posts journal entries to recognize revenue, book receivables, and charge indirect costs on grants • Supports the maintenance of grant coding in the fund accounting system • Participates in the preparation and execution of federal grant drawdowns as needed • Serves as a backstop for various corporate finance functions • Other miscellaneous duties as assigned by supervisor
Principle Working Relationships
The Corporate Grants Officer will work frequently with international and US finance personnel, HQ staff in technical and program management units, field office personnel with and without accounting experience, staff in government agencies, financial staff of donor organizations, and external auditors. The Corporate Grants Officer reports to the Senior Manager, Grants and Contributions.
Qualifications, Knowledge and Skills
BA or BA equivalent in Business, Accounting, Finance, Economics, or related field preferred. Direct experience with accounting or grants management may substitute • Microsoft Word and excellent skills with Microsoft Excel required • Analytical skills • Desire and willingness to further knowledge and expertise • Strong communication and interpersonal skills • Ability to work with minimal supervision, but knowing when to seek additional assistance • Ability to work harmoniously and effectively as part of a work team, responding to frequent demands of multiple constituents (internal and external) • Acute attention to detail and the motivation to maintain excellence in all areas of responsibility • Ability to manage time effectively and efficiently to meet multiple deadlines within regular cycles of activity • Ability to communicate by phone and e-mail with people for whom English is not their first language
