Department Overview

The External Relations group is responsible for all individual fundraising (from channels including major gift cultivation, direct mail and online), internal and external communications, stewardship of the organization’s brand and positioning and management of Pathfinder’s online properties and channels. The External Relations group partners with all departments within Pathfinder and successfully communicates Pathfinder’s core values and mission.

Position Purpose

The Development Operations Manager manages the day-to-day operations of the development office by managing the maintenance, performance and use of Raiser’s Edge, the fundraising database and connection to Convio. This includes overseeing gift processing (including lock box deposits), upkeep and enhancement of donor information and records, and production of Raiser’s Edge reports for use by senior management, staff and the board. The Development Operations Manager reports to the Director of Development.

Key Responsibilities

  • Supervise gift processor. Oversee accurate, timely input of all constituent and gift information, and generation of donor acknowledgements. Collaborate in auditing the accuracy of daily gift entry and production of daily, monthly financial reports. Maintain and improve the administration of the Raiser’s Edge database. Ensure that best practices are followed for data entry and management throughout the organization. Establish and document policies and procedures. Manage the connection between Raiser’s Edge and Convio (online marketing software).
  • Coordinate all use and users of Raiser’s Edge database and ensure successful training and skill improvement of all development staff and users as required.
  • Manage Raiser’s Edge maintenance and clean-up projects to ensure up-to-date and accurate donor information, and easy data extraction for reports and queries. Maintain and improve the administration of donor information files, in print and electronic files. Ensure that best practices are followed for efficient and effective donor and financial record keeping.
  • Collaborate with colleagues in Finance Department to coordinate management of lock box deposits, monthly reconciliations, Raiser’s Edge upgrades, and integration with Convio.
  • Collaborate with Major Gifts staff and Direct Marketing staff to track donors and giving trends. Analyze gift appeals and trends so timely and responsive Raiser’s Edge reports can be distributed.

Basic Requirements

  • Bachelor’s degree required, as well as 3-5 years of development experience preferred.
  • Minimum of 4 years’ experience with Blackbaud Raiser’s Edge database required.
  • Experience with Convio (Luminate) and Crystal Reports preferred. Experience with gift administration, lock box deposits, and donor acknowledgment practices preferred.
  • Excellent interpersonal skills are expected, including ability to communicate effectively orally and in writing. Proven track record of successfully working independently and collaborating as a member of a team. Ability to take initiative, set priorities and complete tasks required.
  • Demonstrated success as an effective manager of people and projects. Ability to manage multiple projects in various stages of completion.
  • Familiarity with development operations required. Experience with annual giving and its relationship to major gifts, online marketing and/or special events preferred.
  • Experience and a high degree of proficiency working with the Microsoft Office suite.
  • Superior organizational skills and attention to detail are expected, as are good problem skills.
  • Strong work ethic coupled with the ability to be flexible in a dynamic work setting.
  • Good sense of humor.
