Program Overview

The Finance Department works in partnership with other Pathfinder International departments to develop budgets, implement and manage financial control measures, establish policies and procedures, and ensure compliance with generally accepted accounting principles, and governmental and nongovernmental grant requirements.

Position Purpose

The Finance Coordinator provides a range of administrative support services to the finance department to promote efficient delivery of services and, where applicable, effective management of the CFO and his office. She/he maintains high standards of professionalism, efficiency, personal communication, discretion and independent judgment. In working closely with internal and external contacts, she/he deals with a wide range of highly sensitive issues under tight deadlines/pressures.

Key Responsibilities

Act as the Executive assistant to the CFO:

  • Responsible for time scheduling and effective management of CFO’s calendar to include effective prioritizing and resolving related conflicts and competing demands. Help to keep the CFO organized; keep calendar current.
  • Perform administrative tasks required to arrange Audit Committee, Finance Committee and Investment Committee meetings, prepare minutes of these meetings, maintain files and perform other administrative and or/secretarial duties for the Committees as needed.
  • Type and proofread correspondence, reports, and other materials.
  • Answer routine correspondence and compose complex correspondence as necessary; prepare selective summaries for the CFO.
  • Collaborate with Executive Assistant to the President on administrative tasks required to arrange Board of Directors meetings; prepare minutes of these meeting; maintain Board files and perform other administrative and or/secretarial duties for the Board as needed.
  • Open and distribute mail; forward correspondence to appropriate personnel for action.
  • Complete various forms, including: purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, and work orders, etc.
  • Create and maintain filing systems.
  • Perform other duties to support the CFO as assigned.

Provide general support to the finance department:

  • Manage petty cash, make payment, prepare vouchers and reconcile as needed.
  • Maintain and reconcile the department credit card.
  • Assist with ACH/wire email notifications.
  • Manage the credit card program for the entire organization.
  • Schedule large meetings and coordinating training events.
  • Ensure that the finance department is presentable and organized.
  • Assist with field finance functions.
  • Handle all travel requests – work with Travel Coordinator to book flights, hotels, visas, etc. for Finance Department Staff.
  • Prepare formal agreement documents for signature from Contract and Grants Unit templates and drafts.
  • Assist with correspondence to obtain donor approvals required under awards.
  • Monitor and track internal approvals of awards and subawards.

Basic Requirements

  • College degree in business management or related field, or diploma in secretarial, office management and/or administrative studies.
  • Ability to exercise sound and timely judgment and maintain confidentiality of sensitive information.
  • At least 5 years’ experience working in an independent administrative position.
  • At least 3 years working for a multi-national organization.
  • Experience preparing and monitoring budgets, assisting with travel and hotel accommodations, taking minutes of meetings and providing office operations support.
  • Working knowledge of telephone systems and standard office equipment such as fax machines and photocopiers.
  • Ability to understand and interpret policies and procedures as well as apply them with consistency.
  • Strong organizational skills including the ability to effectively maintain records and files.
  • Outstanding interpersonal skills and ability to interact with a network of contacts, both internally and externally.
  • Ability to work independently as well as part of a team.
  • Strong problem-solving skills.
  • Excellent interpersonal and customer service skills including the ability to communicate effectively, both orally and in writing.
  • Ability to prioritize tasks and meet deadlines with attention to detail and quality.
  • Demonstrated accurate typing and data entry skills.
  • Proficiency in grammar, spelling and proofreading.
  • Strong computer skills including proficiency in Microsoft Office programs, especially advanced skills in Excel, including graphics, as well as Word, , PowerPoint and electronic mail.

Preferred Qualifications

  • Additional foreign language skills, particularly in French, Spanish and/or Portuguese, a plus.
  • Overseas working or living experience.
  • Advanced skills in financial analytical and reporting software, beyond Excel.
