JOB DESCRIPTION

Position Title: Volunteer and Intern Coordinator (Unpaid Position)

Supervisor:Human Resources Manager

Line Management:N/A

Department: Human Resources

Location of Position: Delmas 48

The volunteer coordinator is responsible for the recruitment, orientation and oversight of all J/P HRO volunteers and interns. S/he is directly responsible for the management and day-to-day monitoring of volunteer and intern programs.

Responsibilities and Duties:

The volunteer coordinator is responsible for planning, organizing and directing the volunteer and internship programs at JP/HRO.

Essential Functions of the Volunteer Coordinator position:

  • Recruit potential volunteers via e-mail and in person
  • Select suitable volunteers
  • Coordinate arrival times for international volunteers
  • Ensure that volunteers have proper pre-arrival information
  • Discuss and plan potential volunteer projects with stakeholders, this includes and is not limited to, the Director of Programs, the Program Support Director, the Finance and Accountability Manager, the Communications Manager and the Country Director.
  • Prepare contracts/agreements for volunteers and intern as per appropriate policy
  • Communicate pertinent information on new volunteers and interns via email (start date, department, specialty, end of contract, etc.)
  • File and update volunteer and intern records and database
  • Establish and regularly update volunteer and interns schedule and list of events
  • Create and manage feedbacks from volunteers and interns
  • Plan, coordinate and reach out to Community and graduate schools to find suitable applicants
  • Develop suitable placement organizations
  • Develop and manage recruitment networks for volunteers and interns
  • Create orientation packages
  • Provide regular personal and work-related support to volunteers and interns
  • Maintain close communication with volunteers and host organizations during placement
  • Work with social, civic and local organizations to develop partnerships, where appropriate, to develop and/or utilize volunteers
  • Develop and implement training programs for all volunteers
  • Maintains updated records on all volunteers
  • Set up and attend volunteer meetings. Report to HR Manager on volunteer activities
  • Recommend and develop ongoing volunteer utilization
  • Provide logistics support to volunteers and interns (transport, security, communication, meals…)
  • Develop and implement a volunteer recognition program.

Qualifications:

  • Minimum of three (3) years or more of relevant not-for-profit work experience
  • BA or BS in Social Sciences, communication or related field – Advanced degree preferred
  • Have experience in recruitment, programs management and staff supervision
  • Have international volunteer experience
  • Fluency in English, French and Haitian Creole
