Job Description:
This full-time position is based in Washington, DC and reports to the Engagement & Events Associate, Corporate Partnerships and Philanthropy. The position requires flexibility and willingness to assume varied administrative roles and responsibilities to ensure the success of the philanthropy program for PSI. The Coordinator will focus on supporting PSI’s ground-breaking philanthropic and advocacy initiative aimed at catalyzing the next wave of social investors setting out to improve the health and rights of girls and women worldwide. Their primary responsibility will be to support the Senior Vice President, Corporate Partnerships and Philanthropy.

RESPONSIBILITIES:

Scheduling and Meeting Coordination for SVP (65%)

  • Provides a wide variety of administrative support to the SVP, including complex calendar management, event planning, document creation, and meeting organization
  • Maintain an organized system of tracking, monitoring, and prioritizing tasks and projects
  • Compile and process SVP expense reports and reimbursements
  • Lead the development of briefing materials and meeting agendas/materials for SVP
  • Manage all travel logistics (flights, hotels, transportation) for the SVP, including the development of travel briefing books

Team Administrative Support (35%)

  • Lead team weekly meetings, including preparing agendas and ensuring all team materials and documentation are available
  • Create, update, and maintain organized files and records
  • Conduct research and prepare briefings
  • Manage contracts, invoices, and setting up new vendors
  • Track team expenses and manage budget, ensuring expense reports are submitted
  • Assist in scheduling and planning for events, such as meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials
  • Act as liaison for team with internal partners, answering questions and routing requests appropriately
  • Take and distribute minutes of meetings
  • Work proactively and take initiative to support the varying needs of the team.

QUALIFICATIONS:

  • Bachelor’s degree and/or equivalent experience
  • A minimum of 1-2 years' work experience in an office setting, preferably in an administrative role for a complex and fast-paced organization, interacting intensively with internal and external contacts
  • Proficiency in Microsoft Word, Excel and PowerPoint; SalesForce, Lawson, WealthX and WealthEngine experience preferred but not required
  • Experience setting priorities and meeting deadlines while balancing the needs of providing support for senior executives, including calendar management, travel arrangements, and event planning coordination
  • Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization
  • Experience establishing organizational systems to improve efficiency and functioning in a changing environment
  • Ability to present information concisely and effectively, both verbally and in writing.
  • Excellent interpersonal and communication skills
